Loading Documents for Assure Hearing Coverage
NOTE: This pertains to documents required for an Assure attorney to cover your firm’s hearing
Case files are loaded to the Hearing Details Screen in two ways:
Firms that have Atlasware will have the case file automatically generated and loaded into the Hearing Details screen. Case files are then automatically updated at various statuses leading up to the hearing. The default best practice calendar is as follows: Uploaded initially at Ready to Schedule, then updated at Scheduled hearing status, 45 days, 14 days, 7 days, 3 days and 2 days prior to the hearing.
Firms that do not have Atlasware will have to manually upload the exhibit file to the Assure portal on the hearing details screen by doing the following:
Click Actions tabClick DetailsPress Upload to Assure on the hearing details screen under List Of DocumentsChoose the Case File option from the drop down menuPress Choose the filePress the Upload to Assure button.
NOTE: If there are multiple updates to the case file, this action may need to be done by the firm multiple times to ensure the attending attorney has the most recent case file for the hearing.

Loading required hearing documents to Assure portal
NOTE: Uploading documents to the Assure site for hearing coverage does not replace uploading files to the ERE (electronic records exchange) to be submitted as evidence for your claimant.
In order to prep the of counsel attorney for a hearing through the Assure Calendar, there are several vital pieces of information that are needed including:
Case File, Case NotesHearing BriefFee Agreement (Sent TO Contractor)Notice of Hearing, and Form 1696 (Sent TO Contractor).
All documents are required no later than 10 Business Days before the hearing date.
At the completion of the hearing, additional documents must also be loaded
Fee Agreement (Sent FROM Contractor)Notice of Hearing, and Form 1696 (Sent FROM Contractor).
To load documents to the List of Documents
Click the Upload to Assure LinkSelect the document type from the drop down menu
Choose the File and attach it.Press Upload button
NOTE: This action is NOT loading the documents to the ERE. It is only loading them to the Assure Portal.
Case File
NOTE: This step is not required if your firm uses the Atlasware functionality where your firm's representative ERE credentials are connected to the Assure system. This requirement is eliminated as the process is automated.
Documented evidence and medical records that belong to the claimant. Claimants may have multiple case file entries. See Loading Case files to the List of Documents for more information about loading the case file to the List of Documents section.
To load the Case File document:
Click the Upload to Assure link
Click the document type “Case File”Choose the File from your desktop or network drive
Click the Upload button
All other subsequent uploads are uploaded as outlined above.
Case Notes
Case notes can include any additional documentation that the firm wants the attending attorney to review for the hearing.
