Prevail 10 E-Training*: User Settings

User Settings in Prevail allow individual users to customize certain aspects of the program to their liking. This spans from entering contact information and setting a default calendar, to setting shortcuts and choosing themed skins for your Prevail.

How to navigate to User Settings:

  • Go to File

  • Click ‘User Settings’

Once you are in your User Settings, the window is split into 5 tabs:

  • Contact

  • Settings

  • Sync

  • Appearance

  • Shortcuts

Part 1: Contact

The contact tab is where you can type any personal information you would like.

For more information on these specific fields, see ‘Prevail 10 E-Training: Contacts.’

Note: Much of this information will automate from Employee Setup.

Startup Calendar

Allows you to pick your preferred calendar view and have it launch automatically, with your default calendar setting, when you log in.

 

Default Calendar

Allows you to select one or more user’s calendars as your default view. If Startup Calendar is selected, these calendars will launch automatically when you log in.

 

Start of Day; End of Day; and Time Blocks

Start/End of Day: Determines where your calendar starts and ends

Time Blocks: Sets number of minutes that each block represents (15, 20, 30, or 60 minutes)

 

New Appt Warning Days

Allows you to receive appointment warning notices more than one day in advance.

 

New Task Warning Days

Allows you to receive task warning notices more than one day in advance.

 

Appointment Reminder

Select how far in advance (0 minutes to 8 hours) you want to receive an appointment reminder.

 

2nd Appointment Reminder

Select a second reminder (0 minutes to 8 hours) before an appointment.

  • Should be a shorter time than the first reminder.

 

Time Zone

Select the time zone for your calendar

 

Use Daylight Savings Time

Check to adjust appointments for Daylight Savings Time.

  • This box will be checked automatically, uncheck if your State does not follow DST

 

Word Processor

Selected during the installation process. Determines whether your documents will open in Word or WordPerfect.

Note: We no longer support WordPerfect form creation.

 

Popup Windows Stay On Top

Keeps popups and reminder windows on top of the main window until closed.

 

Prompt for confirmation on exit

Prompts you to confirm before exiting Prevail.

 

Receive Appointment Messages

If unchecked, you will not receive messages about appointments scheduled for you.

 

Receive Task Messages

If unchecked, you will not receive messages about tasks scheduled for you or completed tasks you assigned.

 

Alert Dock Side

Choose the dock location for your messages and reminders.

 

Alert Duration

Set how long alerts stay on screen at your selected dock location.

 

Grid Name Display

Choose how user names appear in grids: Login (e.g., MSMITH), First Last (e.g., Mary Smith), or Short (nickname).

 

Employee Search Window

Choose between a dropdown checklist or a dual-column window to select employees for appointments, calendars, or tasks.

 

Spell Checker

Toggles spell checker on/off.

 

Capitalize First Letter After Period

Automatically capitalizes the first letter after a period in note fields.

 

Startup Dashboard

When checked, launches the dashboard tab upon startup.

 

Private Appointments

When checked, unattached appointments are marked as private by default.

 

Popup Messages

Check this box to have messages pop up on-screen.

 

Part 3: Sync

The Sync tab refers to your Calendar Sync with Outlook. If you are unsure of what this means, please do not select anything you are unsure of; contact technical support at (866) 998-4400 option 1,1.

Instructions to set up your Sync Settings:

  1. Open the Sync tab in Prevail and check the Sync Type field.

    • If it shows Exchange and is locked, Exchange is already set up and you cannot change these settings — stop here.

  2. If you’re unsure whether you use Exchange, do not guess. Contact your network administrator or IT before saving any changes.

  3. If you are not using Exchange, select Local from the Sync Type drop-down.

  4. After choosing Local, the Computer Name and User Name fields will auto-populate.

  5. (Optional) Check Launch Outlook Sync and Automatically Launch at Windows Startup if you want the sync to start automatically.

  6. Click Save.

Part 4: Appearance

The Appearance tab allows you to personalize your view of Prevail.

  • Choose your toolbar style:

    • Consolidated: Less buttons, adds more to the ‘New’ menu.

    • Standard: Spreads out options across the toolbar with their respective names next to the buttons.

  • Highlight Color - This is the highlight color for "required" fields, and past due tasks/statute warnings.

  • Font Name and Size- These settings apply to the text and field names in Prevail.

Note: Text size can be affected by your screen size and resolution settings.

  • Skins & Buttons - Pick the ones you like to customize the appearance of Prevail. If more than one Skins and/or Button style is selected, Prevail will cycle through them at random.

Part 5: Shortcuts

Shortcuts can be a great way to streamline accessing different tabs and functions in Prevail that you use often.

How to Add Shortcuts:

  1. Click ‘Add’

  2. Select the Shortcut key from the dropdown on the left

    1. This is a list of keystrokes on your keyboard that can be assigned an action in Prevail

  3. Select the action you want it to trigger from the dropdown on the right

  4. Click ‘Save’.
