Assure Annotations (Notes)

The Assure Notes feature allows you to make annotations (comments, highlights, arrows, etc.) to the downloaded PDF Exhibited case file within the Assure system and for those annotations to append forward as the case file is updated both on our automated calendar or through manual updates. Throughout the lifecycle of the case you can add additional annotations to the Exhibited file and all information added will remain within the file. To use the Assure Notes feature follow the steps below.

  • On the left side of your screen, in the navigation bar, Select ​Cases.

  • Identify the claimant's case file that you would like to annotate by using the search filter

  • To ensure that you are making annotations to the most up to date file, you can check for an update to the Exhibited file by selecting the ERE Case File tab, click on the ​case file options​ button, then choose ​check for updates​.

  • This may take a few minutes. Refresh screen.

  • Once the file is finished updating, click on the green Download Exhibited Case File​ ​ button to download the case file to your device, then open that file in Adobe Acrobat.

NOTE: Adobe Acrobat is required for annotations

  • Make any annotations to that PDF file in Adobe Acrobat.

Once you've finished making your notes in the file, follow these steps to export the data from the PDF:

  • Click the Options menu (upper right) in the comments list, then choose ​Export All to Data File​.

  • If Comments window to the right of the document is not visible​ select View > Tools > Comments

  • *In older versions of Adobe Acrobat ​select​ (Image below) and then ​Export All to Data File... from the drop down box.

  • Name the file, then choose​ Acrobat FDF files (*.fdf) or Acrobat XFDF Files (*.xfdf) for the file type.

  • Specify a location for the file, and then​ click Save.

  • Return to the Assure web site and to the same Case Details page you were at previously

  • Under the​ ERE Case Files​ tab click on ​Case file Options

  • Click Upload Annotated File

  • Select the case file version that the annotation just made should be applied to. This typically is the most recent version of the document.

  • Choose the saved Adobe data file you named previous and click ​Upload.

  • Go back to the ​All Documents​ tab and refresh the screen. Allow a moment for the case to update

  • The Exhibited Case file will now show the annotation symbol.

  • Annotations​ tab should also be visible and all annotations including any made previously should be listed here.

  • You can Download the Summary of the Annotations by clicking ​the Annotations tab, then Download Summary.

  • As updates are made to the Exhibited Case file, all annotations will be visible if ​annotate symbol is present.

To download a case file without annotations, click the ERE Case Files​ tab and select Case File Options and then ​click Download Annotated Free Case File

You can add further comments to the existing Exhibited file by repeating the process above.
