This How-to covers attaching outgoing emails two different ways in Prevail.

The email tool in Prevail is an add-in to Microsoft Outlook. This feature allows you to easily attach any outgoing or incoming email to the History of any matter in Prevail.

Note: The email integration works only with a full desktop installation of 32-bit Outlook. Web-based and click-to-run versions of Outlook are not compatible.

Option #1- Using the Email button in the Prevail toolbar

  1. From any tab in a Matter, Click New > Email.

  2. Enter the to, CC, and BCC by-

    1. typing the addresses in the appropriate fields or selecting the addresses from the list to the right.

  3. Enter the Subject of your email as you normally would in Outlook.

  4. Choose a category to be assigned to the Prevail History entry for the email from the drop-down menu.

  5. Compose your email.

  6. Click ‘Send’ when you have finished composing your email.

    1. The email will automatically be attached to the History of the matter you have open.

  7. Note:

    1. Any files attached to the outgoing email will be included in the History entry made in Prevail.

    2. If you want to Reply To or Forward an email, and you want to attach your reply or forward to Prevail, you must click the ‘Pop Out’ button in Outlook, which will open your outgoing email in a separate window. You can make ‘Pop Out’ your default setting in Outlook by clicking File > Options > Mail, and checking the box to “Open replies and forwards in a new window”.

Option #2- Initiate the email in Outlook

  1. Open a new email in Outlook as normal.

  2. The Prevail email add-in panel will appear on the right.

  3. Enter the recipient addresses in the To, CC, and BCC fields as normal.

  4. Enter the Subject and compose your email as normal.

  5. In the panel on the right, Click ‘Attach to Prevail History’. These following fields will display.

  6. Choose a category to be assigned to the Prevail History entry for the email from the drop down menu.

  7. Search the matter which you want to attach the email to by entering the first few letters of your client’s first/last name in the Search field.

  8. Click the desired matter.

    1. Note: When you enter an email address in the To, CC, or BCC fields, Prevail will attempt to determine the matter to which you want to attach the email. It makes this determination by locating any matters that have a contact attached whose email address matches the one(s) you have entered in the To, CC, or BCC field.

  9. Click ‘Send’ in Outlook

  10. Note: Any files attached to the outgoing email will be included in the History entry made in Prevail.
